Appointment Cancellation and Rescheduling Policy

To ensure that appointment times are available to all clients and to support the smooth functioning of the practice, the following cancellation and rescheduling policy applies to all appointments.

Rescheduling and cancellation

• Appointments may be cancelled or rescheduled without any charge if notice is provided at least 24 hours prior to the scheduled session time.
• Requests made less than 24 hours before the appointment will be considered a late cancellation.

Late cancellation fee

• Appointments cancelled with less than 24 hours' notice will incur a fee of 50% of the session charge.

Missed appointments (no-show)

• If a client does not attend a scheduled session and does not provide prior notice or communication regarding their absence, the appointment will be considered a no-show.
• No-show appointments will be charged at the full session fee.
• The missed session cannot be adjusted against or carried forward to future appointments.

Emergencies and exceptional circumstances

• Genuine emergencies, sudden illnesses, family crises or other unforeseen circumstances may occasionally arise. As a one-time courtesy, a late cancellation due to a genuine emergency may be accommodated without a cancellation fee, provided the client informs the therapist as soon as reasonably possible.
• This courtesy does not apply to appointments where a client does not attend and provides no communication regarding their absence.
• Any further late cancellations may be subject to the standard cancellation policy and will be considered on a case-by-case basis.

Late arrival

• If a client arrives late, the session will still end at the scheduled time to avoid impacting subsequent appointments.
• The full session fee remains applicable regardless of the time of arrival.

Payment of fees

• Any applicable cancellation or no-show fee must be cleared before the next appointment can be scheduled.

By booking and attending sessions, clients acknowledge that they have read, understood and agreed to this cancellation and rescheduling policy.
